How cafes take orders with a WhatsApp QR code
2 min read
This is the most copied WhatsApp pattern in food service, walked through end to end so you can copy it properly. No app, no tablet ordering system, no commission. A QR code and a chat.
The customer’s side, in four taps
A card on the table says “Order on WhatsApp” over a QR code. The customer scans it, WhatsApp opens with a message already typed: Hi, I would like to order. Table:. They add the table number, hit send, and either type their order or browse the catalog the cafe replies with. Total friction: about fifteen seconds, none of which involved downloading anything.
The cafe’s side, once
The link. Built in the link generator: the cafe’s WhatsApp Business number, plus the pre-filled message. The trailing Table: is the clever bit; customers complete the sentence, and every order arrives pre-labeled.
The QR code. Downloaded as SVG for the printed table cards (it scales cleanly to any print size) and as PNG for the Instagram story announcing it. Sizing and contrast rules are in the QR guide; the short version is 3 cm minimum on a table card, dark on white, tested with a real phone before the print run.
The catalog. WhatsApp Business’s built-in catalog holds the menu with prices. A quick reply saves the “here is our menu” message so staff send it in one tap.
The account name. The cafe runs orders on a dedicated identity, so order chats never mix with the owner’s personal messages. Naming that account (crumbcafe.orders style) is covered in the business username guide.
Why it beats the alternatives
Against a phone line: written orders with no mishearing, and a record both sides keep. Against ordering apps: zero commission and the customer relationship stays yours, including the ability to message a regular when their usual order is ready on a Friday.
The failure mode to avoid
An unstaffed number. A QR order that sits unanswered for twenty minutes is worse than no QR at all. Set the away message honestly, staff the number during open hours, and this pattern quietly becomes a fifth of your orders.
