How to use WhatsApp QR codes

A QR code is a wa.me link wearing print clothes. It removes the one step that kills conversions on paper: nobody types a URL from a poster. Here is how to use them so they actually scan.
When a QR code beats a link
The rule is simple: on screens, use a link; on physical surfaces and anything viewed from a distance, use a QR code. Posters, table tents, packaging, receipts, business cards, shop windows, event badges, vehicle decals. Also on-screen in one case: slides presented to a room, where the audience scans from their seats.
Size and placement rules
- 2 cm minimum printed width for close-range scanning (a flyer in hand).
- Scale with distance. Rough rule: printed width should be at least a tenth of the scanning distance. A poster scanned from two meters needs a code around 20 cm wide.
- Flat surfaces. Curved bottles and creased packaging break scans. Put the code on the flattest face available.
- Quiet zone. Leave white space around the code. Cramming it against text or borders is a common cause of failed scans.
Why codes fail to scan
Almost always one of four things: printed too small, too little contrast, decorative recoloring, or a blurry upscale from a small PNG. The fix for the last one is exporting SVG, which our generator provides alongside a 512 pixel PNG. Both are dark-on-white deliberately; that combination scans on everything back to years-old phone cameras.
Add the message, and the fallback
Two details separate professional QR usage from an afterthought. First, encode a pre-filled message that gives the chat context: “Hi, I am at table” beats a blank chat box. Second, print the short link under the code (wa.me/91987...) for the person whose camera will not cooperate. The code is the fast path, not the only path.
Test with a real phone
Before printing five hundred of anything, scan the final artwork, at final size, from a realistic distance, with an ordinary phone. Every number typo and every too-small print run in history would have been caught by this one habit. Common questions
Do WhatsApp QR codes expire?
Codes made from a wa.me link never expire; they encode your number and nothing else. The in-app QR code can be reset manually, which invalidates the old one.
PNG or SVG for printing?
SVG. It scales to any size without blurring. Use the PNG for screens: presentations, social posts, websites.
Can I put my logo inside the QR code?
Technically yes, thanks to error correction. Practically it lowers scan reliability, and a logo next to the code delivers the same branding with none of the risk.
